Client collaboration / Build playbook

Give clients one place to go.

Bring project status, approved documents, and next steps into a focused customer experience.

An example implementation plan, not a preinstalled app or a customer case study.

  1. 01
    Project knowledge
  2. 02
    Client portal
  3. 03
    Clear next steps

The build plan

  1. 01

    Choose what clients should see

List milestones, files, decisions, and requests. Separate client-facing information from internal planning before connecting any sources.

  2. 02

Connect a narrow set of content

Share selected Notion content with the integration and choose approved Google Drive files. Retain source links and document IDs.

  3. 03

Build the portal around next steps

Create a client-specific overview with status, documents, an action list, and a way to submit feedback. Every record should belong to the correct client.

  4. 04

    Add reviewed notifications

Use Resend to prepare a short update when a document is ready or feedback is needed. Configure an approved sending domain and keep private content out of email.

  5. 05

    Test with two clients

Verify that one client cannot access another client's URLs or files. Test revoked source access, an updated document, and a repeated notification event.

Before it goes live

  • Changing a URL never reveals another client's project.
  • Unshared or revoked documents stop appearing.
  • Repeated events do not send duplicate update emails.

Start with this prompt

Paste into Scout, then adapt it to your team. Do not paste credentials or private customer data.

Build a client project portal using Notion, Google Drive, and Resend. Start with two sample clients to test isolation. Show approved project status, milestones, documents, and client actions. Preserve source access and prevent cross-client record access. Prepare update emails for review through a verified sender. Handle revoked files, outdated content, repeated notifications, and connection errors. Never expose internal notes to clients.
