Sales & operations / Build playbook
Close the deal. Start the work.
Give delivery teams the context, owner, and next steps they need before a new customer has to ask.
An example implementation plan, not a preinstalled app or a customer case study.

The build plan
- 01
Define a ready handoff
List the information delivery needs: customer, decision-maker, agreed scope, promised dates, and account owner. Mark required fields before any automation.
- 02
Connect the source records
Connect the approved HubSpot account. Read deal, company, and contact associations, retaining their source IDs. Start with a small set of test deals.
- 03
Build the shared workspace
Ask Scout for a handoff queue, account detail page, readiness checklist, owner, and due date. Keep the deal record as the commercial source of truth.
- 04
Add a reviewed handoff
When a deal is ready, prepare a Google Docs kickoff brief and notify the selected Slack channel with a link. Let the delivery owner accept or return the handoff.
- 05
Pilot the exceptions
Test a missing contact, a reopened deal, and a repeated event. Prevent duplicate workspaces and make failed notifications visible before expanding to more teams.
Before it goes live
- One deal creates one handoff, even when an event repeats.
- A delivery user sees the agreed context, not restricted sales notes.
- A missing required field blocks the handoff and names the next owner.
Start with this prompt
Paste into Scout, then adapt it to your team. Do not paste credentials or private customer data.
Build a sales-to-delivery workspace using HubSpot, Slack, and Google Docs. Start with sample data. Show won deals, required handoff fields, a delivery owner, due date, and an accept-or-return checklist. Preserve HubSpot record IDs and associations. Prepare a kickoff brief for review, then notify an approved Slack channel. Keep source changes and external messages behind approval. Handle reopened deals, missing contacts, repeated events, and connection failures.
